Privacy Policy
This policy sets out the personal information that Editing Press Inc., of Toronto, Ontario, collects through editing.press, how the information is used and kept, and with whom it is shared. It was last revised on 11 October 2026.
Information We Collect
We collect what authors, applicants and other visitors give us, and what the website and the services it uses record when the site is visited.
- Correspondence. The name and email address of anyone who writes to us, the message itself, and any manuscript, sample or document sent with it.
- Orders. On our Order page, the author’s name and email address, the institution to be invoiced where one is given, the length of the manuscript with the service and turnaround chosen, the contract as signed, the manuscript and any files sent with it, and any proof of a bank transfer.
- Payments. Card payments are made on Stripe’s payment page, and the card details go to Stripe alone. Stripe tells us the amount paid and whether the payment succeeded, and collects information about the device used, which it applies to the prevention of fraud. A bank transfer or an Interac e-Transfer reaches us with the details that the payer’s bank sends, which usually include the payer’s name.
- Applications for the Laura Bassi Scholarship. The information and documents an applicant submits with the application form, and the record of the application fee.
- Use of the website. Google Analytics records the pages visited, the device and browser used and the approximate location, and sets cookies to do so. The pages load their typefaces and icons from Google Fonts and from a public content network, which receive the visitor’s internet address. Our server records each request with its internet address and time, and the Order page keeps the address in coded form to limit the number of requests from any one connection.
How We Use It
We use personal information for the following purposes only:
- to answer enquiries and to quote for work;
- to prepare contracts, to carry out the editing, proofreading or translation, and to return the work;
- to take payment and to send contracts and receipts;
- to assess applications for the scholarship and to give applicants the outcome;
- to keep the accounts and records that the law requires;
- to keep the website secure and to see how it is used.
We may write to authors we have worked with about our services. Anyone may ask us not to, and we will not write again.
Manuscripts
Manuscripts and the documents sent with them are confidential. They are read only by the editors engaged on the work and are used solely for the work commissioned. We never share, disclose, reuse or publish any part of them. For commissioned work, section 5 of our contract sets out these obligations in full.
Who Receives Information
We do not sell, rent or trade personal information. It is shared only with the companies that provide our website, our email and our payments, and only so far as each needs it:
- Stripe, which processes card payments;
- Google, which provides our email accounts, Google Analytics and Google Fonts;
- Ingenuity Cloud Services, which hosts the website on a server in London.
Each of these companies holds the information under its own privacy policy, and the information may be stored and processed outside Canada, including in the United States and the United Kingdom. We also disclose information where a court of law requires it.
How Long We Keep It
- Files sent with a card order that is never paid, or with an application whose fee is never paid, are deleted after seven days.
- Contracts, receipts and records of payment are kept with our accounts.
- An author may ask at any time for a manuscript, and any notes or copies made from it, to be returned or permanently deleted, as section 5 of our contract provides.
Security
Every page of the website is served over an encrypted connection. Orders, manuscripts and applications are kept on our server in folders that are closed to the public, and only those who need them for the work can open them. Card details never pass through our server.
Your Choices
Anyone may write to info@editing.press to see the personal information we hold about them, to have it corrected, or to have it deleted, except where we must keep it for our accounts. Cookies set by Google Analytics can be refused or deleted in the settings of any browser.
Changes to This Policy
Any revision of this policy will be posted on this page with its date.
